Privacy Policy — Replyvo
This page explains what data the Replyvo Android app processes, why, and for how long.
1. Who we are
Replyvo (the Android app) is operated by Mykhailo Arpentii, an individual developer — not a company. Contact: support@replyvo.app.
2. What Replyvo does
Replyvo helps you write replies to messages in a language you don't speak natively — from clients, colleagues, a landlord, a school, anyone. When you tap the Replyvo button inside a messenger or another app — including your SMS app (for example Google Messages), if you turn Replyvo on for it — the app takes a screenshot of the open chat and, if you allow it, records a short voice note of what you want to say. Both are sent to our server and to our AI provider (see section 5), which drafts two reply options, a translation of each, and a translation of the message you are replying to. You choose a reply, the app inserts it into the message field, and you send it yourself — Replyvo never sends a message for you.
3. Data we process and why
This table lists everything Replyvo processes, why, and how long it is kept.
| Data | Why | Stored? |
|---|---|---|
| Screenshot of the open chat | Sent to our server and processed by an AI to read your client's message and draft a reply. The screenshot shows whatever is on screen in that chat: messages (including SMS/MMS or emails, if you turn Replyvo on in those apps), photos in the chat and the contact’s name. | Not stored — the image itself is discarded after processing. A short summary and key facts from the chat are kept for 30 days — 90 days if you take part in the Improvement programme (section 4). |
| Chat name at the top of the screen | Read on your phone to tell chats apart; only a hash (digital fingerprint) of the name is sent separately to our server, not the name itself. A short name or phone number can be guessed from its hash, so this is not anonymous. | The hash is kept until you delete your data. |
| Voice note | Sent to our server and processed by an AI to understand what you want to say | Not stored — the audio itself is discarded after processing. The transcript is kept for 30 days — 90 days if you take part in the Improvement programme (section 4). |
| Text you had already typed in the message field when you called Replyvo (your draft) | Sent to our server and processed by an AI so that the suggested reply builds on what you started writing | Not stored — discarded after processing; only the fact that a draft was present is recorded |
| Suggested replies and the one you chose | Shown to you so you can pick a reply and send it. The translation of the incoming message is shown on screen and not stored. | Kept for 30 days — 90 days if you take part in the Improvement programme (section 4) |
| Edits you make to a suggested reply before sending it | Used to see what was wrong with the suggestion and improve future replies | Stored only if you take part in the Improvement programme — kept for 90 days — or if Style memory is on (then the edited reply is kept as a style example, see the next row). Otherwise only the fact that you edited (not the text) is recorded |
| Style memory (optional, Settings → “Remember my style”): the replies you accept or edit | Used as examples so that future suggestions match your own wording and length | Only if you turn Style memory on — the 10 most recent examples are kept until you delete them in Settings, turn Style memory off, or delete your data. If you are signed in to an account on several phones, the examples belong to the account: deleting the data of one phone moves them to another signed-in phone, and deleting the account erases them. Not affected by the Improvement programme |
| Your profile: languages, tone, who you usually reply to, facts about you or your business, rules for replies and a signature you enter (including contact details if you add them) | Used to draft replies that sound like you and match your business | Kept until you delete your data |
| Usage events, without any message text: which reply you picked, whether you inserted or copied it, your thumbs-up / thumbs-down rating and its reason, and whether the message field emptied after you inserted a reply (we check only whether the field is empty; its text is not saved or sent) | Used to understand how the app is used, which suggestions work, and to fix problems | Kept until you delete your data |
| Which of the supported apps are found on your phone (checked only against a short list of apps Replyvo supports, not your full list of installed apps), and which apps you turn Replyvo on for | Used to understand where Replyvo is needed and to fix the reply-box insertion in specific apps | Kept until you delete your data |
| Device identifiers: device token, installation ID, your user ID (a number shown in the app under Menu → Account → “Your ID” from version 0.9.5), invite code (if you used one), phone model, Android version | Used to authenticate your device, to avoid creating a second profile for the same installation, and to limit the number of new registrations | Kept until you delete your data |
| Your email address and one-time sign-in codes, if you create an account | Used to sign you in and to keep your plan and settings with you instead of with one phone | The address is kept while the account exists and is erased the moment you delete it. Sign-in codes are stored only as a hash, expire in 10 minutes and are deleted within 2 days; if you never finish signing in, the address stays in that record and is deleted with it. The phone also keeps the last signed-in address, so the app can say which account it was disconnected from; it is erased when you sign out on that phone, close that notice, delete the account or delete your data. |
| Crash reports, sent via Sentry, without message text | Used to find and fix crashes | Kept by Sentry for at most 90 days (Sentry's retention period) |
| Bug reports you send from the app: your note, the app's own log and a screenshot of the app screen (it may show your reply history) | Used to fix the problem you reported | Kept 30 days on our server; deleted immediately if you delete your data before then |
| Technical server logs: IP address, time and path of each request, and the app's own event records with your user ID (never message text or your device token) | Used for security and to keep the service running | Kept up to 31 days |
| Registration counter per network address (IP) | Used to limit the number of new registrations per day and per network | Kept up to 2 days; it is a counter, not tied to your profile |
| If you buy a Pro subscription: Google Play purchase token and subscription state (active, trial, cancelled, expired, etc.) | To verify the purchase with Google and unlock Pro. We never receive payment details (card, address) — Google Play handles them | While the subscription is active and for 90 days after it ends (for refunds and disputes), or until you delete your data. Google Play's notifications about your subscription are kept for 30 days so that we do not process the same one twice |
4. Improvement programme
The Improvement programme helps us make suggested replies better. If you take part, we keep your voice transcripts, the chat summary and key facts, the suggested replies and the edits you make to them for 90 days instead of 30, and we may review them (only the developer, never an outside party) to find out where the suggestions went wrong and improve them.
What is never stored, in or out of the programme: screenshots and voice recordings themselves. They are discarded right after processing. We also never read the message after you send it — we only check whether the message field emptied after you inserted a reply; its text is not saved or sent. If you had already typed something in the field when you called Replyvo, that draft is sent along so the suggestion can build on it (see the table above); it is not stored.
Default: the programme is off by default when the app detects that you are in the EU or the UK (by your network, SIM card or phone language), and on by default otherwise. When the region cannot be reliably detected, the programme is also off by default. The region is determined on your phone (network, SIM card or phone language); the country code never leaves the device. The setting is shown on the consent screen when you first set up the app.
How to turn it off: Settings → “Help improve Replyvo”. When you turn it off, the 30-day retention applies from then on: texts older than 30 days are deleted at the next nightly clean-up, and edits you make are no longer stored. Deleting your data (section 8) removes everything immediately, whether or not you took part.
Taking part is not required to use Replyvo, and it does not change the price or the features you get.
5. Service providers
We use a small number of outside services to run Replyvo. They process data on our instructions and do not use it for their own purposes.
- Google Gemini API (paid tier) — processes the screenshot, the voice note and your draft to draft your replies; each request also carries your profile (languages, tone, facts about you or your business, signature) and, if Style memory is on, your style examples, so that the reply sounds like you. On the paid tier, Google does not use your prompts or responses to improve its products; it keeps logs for a limited period (up to 55 days) only to detect and prevent abuse.
- Sentry — receives crash reports, without any message text.
- Google Play (Google LLC) — payment processing and subscription verification; we receive only the purchase token and subscription state.
- Google Play Integrity API (Google LLC) — the app asks Google Play to confirm that the app is genuine and the device is not tampered with; Google receives the app identity and a one-time nonce from our server, not your messages or profile.
- Resend — delivers the email with your one-time sign-in code, if you create an account; it receives your email address and that email, nothing else.
- Our server — hosted in the United States (Contabo).
We do not run advertising, we do not sell your data, and we do not share it with anyone beyond the service providers listed here.
6. Messages from the people you chat with
The screenshot you send us contains messages from the person you are chatting with — a client, a colleague, a friend. We process those messages only to draft your reply. We keep only a short summary for 30 days — 90 if you take part in the Improvement programme (see the table above), we never contact them, and we never use their messages for anything other than helping you reply. You are responsible for using Replyvo in line with your agreements with the people you chat with and any applicable law.
7. Security
Data travels between your phone and our server over HTTPS. Access to the server is limited to the developer. Your device is identified by a device token instead of a password, and Replyvo's app data is not backed up to the cloud. If a security incident affects your data, we will post a notice on this page, notify you directly where we have a way to reach you (the email address on your account, or the contact we have for early testers), and notify the authorities where the law requires it.
8. Retention and deletion
Chat summaries, key facts, voice transcripts, suggested replies, bug reports you send us, and technical server logs are kept for 30 days and then deleted automatically at the next nightly clean-up (so up to a day later). If you take part in the Improvement programme (section 4), chat summaries, key facts, transcripts, suggested replies and your edits are kept for 90 days instead. Everything else — your profile, style examples saved by Style memory (until you turn it off), device identifiers and usage events — is kept until you delete your data. Crash reports sent via Sentry follow Sentry's own retention period.
You can delete everything at any time: in the app, go to Settings → Delete my data. This erases everything immediately, except the anonymous registration counter per network address (kept up to 2 days).
If you already deleted the app, email support@replyvo.app and tell us your user ID (the number shown in the app under Menu → Account → “Your ID” from version 0.9.5 — note it down before you delete the app) or, if you created an account, its email address. If you have neither, delete your data from within the app before uninstalling it — without an ID or an account we cannot find your data. We delete everything within 7 days.
The server database is backed up once a day. Backups on the server are kept for up to 14 days, then deleted; an encrypted copy of each backup is also sent to a second server, where it is kept for 14 days as well. Backups are not edited, so data you delete can remain inside a backup until that backup is deleted.
See Delete your Replyvo data for details.
9. Your rights and contact
To access, correct or delete your data, email support@replyvo.app — we do this for every user, whatever country you are in. Replyvo is operated from the United States. If you are in the EU or UK, you have the same rights (including under GDPR) — write to the same email address.
10. Children
Replyvo is a tool for adults (18+). It is not directed at children, and we do not knowingly collect data from children.
11. Changes
When we change this policy, we update the date below. If a change is material, we also show it inside the app.
